The Prebuy Contracts option allows for Prebuy customers,
those who purchase a quantity of gas before they need it, to be
entered into the system.

Add New Prebuy Contract
First, select Add New Prebuy
Contract from the Prebuy drop down menu. In the ěSelect Nameî
screen, add a new prebuy contract by selecting the customerís name
or account number. After selecting the customer, the number of
tanks that customer has will show up on the lower right hand side of
the screen in the ěTank(s)î field. A tank ID must be highlighted or
the customer will not be added as a prebuy contract.
Delete Entry
Delete the
selected/highlighted prebuy entry.

After
clicking OK in the ěSelect Nameî window, the ěPrebuy Add Entryî
screen comes up with some information already in it. The account
number, name of customer, and tank ID cannot be changed in this
form, but the details of the contract can be entered.
After entering the Quantity in Gallons the
customer purchased and the Price per Gallon, click OK. The entry
will be added to the main ěPreBuyî screen. Entering a comment is
optional.

In the Reports menu option, Print
Selected Account will create a printable report of the
information of that selected Account on the PreBuy screen.

The menu option in Reports Print Selected Dates/Accounts
creates a report of the accounts in a particular date range
specified in the Report Dates screen
Print Current Contracts
option
in the Reports Menu option gives a report with all the current
contracts.

Print Prebuy History
in Reports Option gives a report with all the past prebuy contracts.
When that option is selected, the options for Reports window
comes up where the Account/Name or Date range can be selected. If
none is selected it will print all the contracts

The Find menu option allows a prebuy customer (meaning one that has
actually purchased gas) to be looked up by the customer name or
account on the PreBuy screen.
NOTE:
Only those customers listed on the PreBuy screen will be available
to be selected or found.
The
Enter Ticket screen is not part of the PreBuy screen. A ticket can
only be entered by going to the main menu on the Delivery Manager,
clicking the Delivery menu option and highlighting Ticket Entry.
The ěPrebuy Infoî column on the ticket will only be seen when a
ticket is entered for a PREBUY customer.
